Case study · Custom medical software

One unified software ecosystem for the whole clinic

Lavicennes Medical Group was juggling scattered tools: a calendar in one place, patient records in another, billing in a third system. We built a complete, custom software ecosystem that brings together the practitioners’ software, internal management and billing compliant with Swiss medical standards. One single source of truth, no more double entry, and modules that finally talk to each other.

The context

Three pieces of software that didn’t talk

Like many practices, Lavicennes had stacked up tools over the years: one for the calendar, another for records, a third for billing, and plenty of spreadsheets around them. The result: the same information was entered several times, errors crept in between systems, and no one had a reliable overview of the business.

  • The same patient data re-entered into three different tools.
  • Manual billing, time-consuming and error-prone.
  • No consolidated view of activity or outstanding payments.
  • Tools that were never designed for Swiss medical standards.

The ecosystem

One suite, four modules that talk to each other

We built a unified suite around a single database. Each module covers a specific need of the clinic, but they all share the same information in real time.

  • Practitioner software

Calendar, clinical notes and patient records brought together in a desktop app designed for caregivers’ daily work.

    • Calendar and appointment booking
    • Structured clinical notes
    • Centralised patient records
  • Internal management

The clinic’s administration tools: roles and permissions, team organisation and activity tracking.

    • Roles & permissions
    • Shared team calendar
    • Activity statistics
  • Compliant billing

Swiss-standard medical billing, generated directly from the services entered by practitioners.

    • Invoices from services
    • Payment tracking & reminders
    • TARMED / TARDOC compliance
  • Connected to the assistants

The WhatsApp assistant and the phone assistant write into the same calendar: no booking lives outside the system.

    • Single shared calendar
    • Synced appointments
    • Zero double booking

Billing focus

Billing, without the chore

This is the module that kicked off the project. Swiss medical billing is demanding: service codes, third-party payer or patient-paid models, standardised formats. We automated it end to end, from the services already entered in the practitioner software, to remove re-entry and make every invoice reliable.

  • Automatic invoice generation from the services entered by the practitioner.
  • Support for third-party payer and patient-paid models depending on the patient’s file.
  • Real-time payment tracking and automatic reminders for unpaid invoices.
  • Direct integration with medical records, with no re-entry or manual export.
  • Accounting export and reconciliation to close the financial loop.

The results

A clinic running on a single system

By bringing everything onto one database, the ecosystem removed double entry, sped up collection and gave management a clear, real-time view of the business.

Compliance

Security & compliance

Medical software handles the most sensitive data there is. The ecosystem was designed from the start around security and the Swiss and European legal frameworks, with compliant hosting and full traceability of access.

nFADPSwitzerland

Revised Federal Act on Data Protection, in force since 1 September 2023.

GDPREuropean Union

Health data handled as a special category (art. 9), for patients residing in the EU.

  • Compliant hosting

Data hosted and processed in Switzerland, with no transfer outside that perimeter.

  • Roles & permissions

Each user only accesses the data required for their role in the clinic.

  • Access traceability

Every view or change to a record is logged and auditable.
